New Financial package
We are currently working on the top level specification for the new financial package - ready for development within the next couple of weeks.
So far, we are looking to develop the following specification however, we are keen to get your feedback to see whether it meets your requirements.
Invoicing and Quotations
- Ability to create a multi-line Quote / Invoice and associate it with a customer.
- Ability to mix products & services in your Quotes / Invoices.
- Ability to offer different types of discounts for your preferred customers, volume or term, at a “customer” or “type of customer” level.
- Ability to set a “Quote valid until” date and also be able to edit it if required.
- Ability to print out Quotes / Invoices in PDF format with company logo, address and all the necessary information entered to make up the Quote/Invoice.
- Ability to set payment terms on Invoices at a “customer” or “type of customer” level.
- Ability to review outstanding Invoices.
- Ability to mark an Invoice as paid or as bad debt.
- Ability to assign an organisational owner to the Quote/Invoice.
- Ability to create an Invoice without going through the Quotation stage.
- Ability to link customer Quotes to a sales prospect tool.
Expenses
- Ability to create a supplier list.
- Ability to raise a Purchase Order Number against a supplier.
- Ability to raise payments against Purchase Orders and Supplier accounts.
- Ability for employees to electronically input expenses including amounts,purpose and payment categories.
- Automatic approval process for employee expenses.
- Ability to track payments against Purchase Orders, Supplier accounts and individuals employee expenses.
Reporting
- Ability to generate cash book and day book reports in real-time.
- Ability to generate graphical reports.
- Ability to generate reports detailing number of Invoices paid at the end of the month and the number in arrears assigned to sales people.
- Conversion rate for Quotes to Invoices assigned to sales people.
- Ability to view Quotes see what prospects are due each month and report against a target for each customer.
This a high level specification of the new package, as soon screenshots available I will post them for review, however in the mean time please provide us with your comments.

New improvements
Based on your feedback we have made some improvements to the user interface.
So, what are these changes…..
The original tool bar was as captured in the screen shot below;
Feedback from BTBizBox users stated it was not easy to find their customer and contact details quickly when setting up meetings, making calls and sending SMS’s.
Give this feedback we have now rolled out a new tool bar as shown below;
Clicking on MyAccount immediately allows you to view your subscriptions and carryout administrative activities.
Clicking on Customer you can view all your existing customer details, add new customers and search your customers quickly and simply.
Clicking on Employee you can view all your employees, add new employees and search your employees.
Clicking on Address Book you can view your contacts, add new contacts, add new companies and search your contacts quickly and simply.
Clicking on Tools and Help gives you direct access to your calendar, employee scheduling, access to this official BT BizBox blog and the BT BizBox discussion forums.

New features
As BT BizBox Beta goes live we have launched the new Meeting Manager.
Meeting Manager provides great functionality for your organisation, it assigns meeting attendees, minutes the notes from the meeting in real-time and also record tasks for each attendee, which are then transferred to their task lists.
I have taken a few screenshots for you to review the functionality.

As we move into the Beta launch we have a new name for the application, BT BizBox.
The FAQs and videos are currently being updated to take into account this change.

This week?
So, what have we been up to this week? Well, we are working on the new meeting manager tool, screen shots to follow.
We are addressing our collateral, feedback on our tutorial videos has been that they lack audio, so we are looking to address this by providing voice overs. We are also creating FAQs & User Guides to help with the navigation of our application. All of these will be available on our discussion forums and also within the application itself.

Sneak preview
So, what are our next developments? well we are planning on launching, in the next couple of weeks, a new meeting manager tool.
The benefits of this functionality will allow you to;
1. Register the attendees at the meeting.
2. Record the minutes in realtime so that all attendees are in agreement. (How many times have you been to meetings and when the minutes are published a different slant has been put on the discussions that took place. This functionality allows you all to agree before the meeting is finished.)
3. Assign actions to attendees, these then appear as tasks so that monitoring on progress of each action/task can take place.
This is a powerful tool and will continue to be improved over time, is there anything else you would like to see integrated into it? If there is - let us know.

What’s new this week?
This weeks we have launched our new quoting and invoicing tools.
The quoting tool records all quotes provided to your customers, capturing full details of the quote, who provided it and how long it is valid for.
Here is a screenshot of the tool.

The quote can be broken down line by line itemising each of the costs.
The new invoicing tool is linked to the dashboard - which make it easier to keep track of payments due
Once a quote has been accepted by a customer an invoice is automatically raised. The tool links an invoice to a quote, provides an invoice date and gives its status as to whether it is paid or payment is required.
Here are a couple of screenshots of the invoice tool and how it works with the dashboard.
